Futures Recruitment Services are delighted to be working alongside our client seeking an Administrative Officer .The ideal candidate will be responsible for financial processes including monthly invoices and dealing with supplier queries, parental payment enquiries, and raising customer invoices. You will also provide support for the procurement, award and compliance of Home to School Transport contracts and maintain the driver database.

Main Responsibilities :

  • Develop and provide a comprehensive and efficient administrative support service to meet business requirements to a high standard.
  • Monitor team inboxes, and distribute correspondence as required and dealing with communication of a confidential nature with discretion.
  • Accurately implement processes related to the collection of Home to School Transport income.
  • Approve monthly supplier invoices and investigate supplier invoice queries.
  • Processing and setting up payments for parental mileage allowances.
  • Assist manager with quarterly updates of the Council’s Dynamic Purchasing System (DPS) for Home to School Transport services.
  • To be responsible for the administration of Disclosure and Barring Service (DBS) applications using the Council’s on-line application system. Providing advice to suppliers, and their drivers, on the DBS process and the requirements for working in Regulated Activity. Where necessary, assisting applicants to complete their application forms and ensure that they provide the correct ID documentation in accordance with DBS guidelines.
  • Verify the identity of drivers assigned to vehicles operating under contract to the County Council.
  • Check that vehicles are presented in a clean and safe condition and display a valid PSV licence disc or taxi/private hire plate.

Essential Qualifications, Skills and Experience:

  • Experience of delivering a wide range of administrative functions and tasks.
  • Comfortable in a customer-facing role.
  • Ability to communicate effectively at all levels, both written and oral, with a wide range of people.
  • Dealing sensitively with confidential information, and sometimes difficult telephone calls relating to information disclosed on DBS certificates.
  • Good computer skills, including Microsoft Office programmes with a willingness to learn new software programs
  • Flexible team player prepared to undertake a variety of tasks
